Analytical Impact Record for SaaS Metric Reporting

When you track SaaS metrics for an item in NetSuite, certain source records can automatically generate Analytical Impact records to support unified SaaS Metric Reporting. These records help you manage recurring revenue by consolidating data from various transaction types.

Automatic Creation of Analytical Impact Records

Analytical Impact records are created automatically through a nightly job that runs at 1:00 AM server time. NetSuite uses the bulk processing framework, enabling fast, scalable processing as your data grows.

Criteria for Automatic Creation

For a record to generate an Analytical Impact record automatically, all the following conditions must be met:

  • The transaction or subscription line includes an item with Track SaaS Metrics enabled.

  • The Start Date on the transaction header or subscription line falls within the SaaS Metric Start Date and SaaS Metric End Date set on the item.

  • Both Start Date and End Date on the transaction or subscription are populated and the term is at least one month.

  • The transaction or subscription’s status is one of the following:

    Sales Order Status

    • Pending Fulfillment

    • Partially Fulfilled

    • Pending Billing/Partially Fulfilled

    • Pending Billing

    • Billed

    • Closed

    Invoice Status

    • Open

    • Paid In Full

    • Closed

    Subscription Line Status

    • Active

    • Suspended

    • Terminated

    • Closed

    Cash Sale

    • Not Deposited

    • Deposited

    • Closed

Source lines for Analytical Impact records can include subscriptions, sales orders (with billing schedules), contract renewal transactions, standalone sales orders, invoices, and cash sales. Downsell events can also be generated for return authorizations, credit memos, and cash refunds linked to transactions.

Adjusting Analytical Impact Records

Analytical Impact records are flexible, allowing you to tailor them to your organization's needs.

To adjust an Analytical Impact record:

  1. Open the record by going to Lists > SaaS Metric > Analytical Impacts and edit as required.

  2. To split an impact:

    1. In the Adjust Monthly Impact field, enter a partial amount.

    2. Select an Adjust Impact category and subcategory.

      The system automatically adjusts the remaining amount, creating two events on the SaaS Metric record (both will appear on your dashboard).

  3. To reclassify automatically assigned impacts:

    1. In the Adjust Monthly Impact field, enter the full amount.

    2. From the lists in the Adjust Impact category and subcategory columns, choose a category.

You can also:

  • Customize the default Analytical Impact form by adding custom fields.

  • Ignore automatically generated records or delete CSV-imported records if you don't want them included in reports.

Any edits to a source record that affect the line amounts, dates, or linked records are reflected in the resulting Analytical Impact records, ensuring your recurring metrics always remain accurate and up to date.
